Future Proof Initiative ("we", "us", "our") is committed to protecting your personal data. This policy explains what we collect, why we collect it, how we use it, and your rights under UK and EU data protection law (UK GDPR / GDPR).
Our data controller contact is: info@futureproofinitiative.com
1. What data we collect
We collect personal data when you interact with our website in the following ways:
Session booking form
- Full name
- Email address
- Career stage (selected from a list)
- Free-text response ("What are you hoping to figure out?")
- Your session preference
Ebook download form
- Email address
Career Design Assessment (quiz)
- Email address
- Responses to 14 diagnostic questions
- Derived archetype result
We do not collect payment information, government identifiers, or sensitive personal data (as defined under GDPR Article 9).
2. Why we collect it and how we use it
To deliver the service you requested
If you book a free Career Design session, we use your name, email, and session preference to send you a confirmation, a calendar invite, and the session link. Your free-text response helps us prepare a relevant session for you. Legal basis: contract performance (Article 6(1)(b)).
To send you the ebook you requested
If you submit the ebook form, we use your email to send you a download link. Legal basis: contract performance (Article 6(1)(b)).
To follow up about FPI courses and sessions
With your consent, we may email you about upcoming free sessions, new programmes, or resources we think are relevant. You can unsubscribe at any time using the link in any email we send. Legal basis: legitimate interests (Article 6(1)(f)) balanced against your right not to receive unsolicited communications, or consent where explicitly obtained.
To improve our service
We may use aggregated, anonymised data to understand how our sessions and programmes are performing. This data cannot be used to identify you.
3. How long we retain your data
- Session booking data: retained for 2 years after your last interaction with FPI, then deleted.
- Ebook download email: retained for 2 years after sign-up, then deleted unless you have engaged with subsequent communications.
- Assessment responses: retained for 2 years after submission, then deleted.
- If you ask us to delete your data earlier, we will do so within 30 days (see section 6).
4. Who we share your data with
We do not sell your data. We share it only with the following processors, under data processing agreements:
- Netlify, Inc. — our website hosting and form submission provider. Form data passes through Netlify servers before being delivered to us by email. Netlify's privacy policy is available at netlify.com/privacy.
- Google (Gmail / Google Workspace) — we use Gmail to receive form submission notifications and to send session confirmation emails. Google's privacy policy is at policies.google.com/privacy.
We do not currently use third-party analytics, advertising, or tracking tools on this website. If this changes, this policy will be updated accordingly.
5. Cookies
This website does not use tracking or advertising cookies. Netlify may set functional cookies required for form submission to work correctly. These are strictly necessary cookies and do not require your consent under the UK Privacy and Electronic Communications Regulations (PECR).
If we introduce analytics or marketing cookies in future, we will update this policy and implement a cookie consent mechanism before doing so.
6. Your rights
Under UK GDPR and EU GDPR, you have the following rights in relation to your personal data:
- Right of access — you can request a copy of the personal data we hold about you.
- Right to rectification — you can ask us to correct inaccurate data.
- Right to erasure — you can ask us to delete your data (subject to any legal obligations to retain it).
- Right to restriction — you can ask us to limit how we use your data while a complaint is being resolved.
- Right to object — you can object to processing based on legitimate interests, including direct marketing.
- Right to data portability — you can request your data in a machine-readable format where technically feasible.
To exercise any of these rights, email us at info@futureproofinitiative.com with the subject line "Data request". We will respond within 30 days.
If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk (UK) or your local supervisory authority (EU).
7. International transfers
Our processors (Netlify and Google) operate servers in the United States. Both participate in appropriate data transfer frameworks and have Standard Contractual Clauses in place to ensure your data is protected to UK/EU standards.
8. Changes to this policy
We may update this policy from time to time. The date at the top of the page reflects the most recent revision. Significant changes will be communicated by email if we hold your contact details.
